Outbound Engagement

Outbound engagement is software that contacts your customers first, by phone, text or chat app, instead of waiting for them to contact you. It covers everything from a collections campaign worked by agents to an automatic reminder that an appointment is tomorrow.

Buyer's checklist

Eight questions that decide this purchase

Think these through before you buy. Answer what you can and your quote comes back faster. Skip what you cannot, and we will work through it with you.

  1. 01

What is the outreach for: sales, collections, reminders, urgent notices, or a mix?

  2. 02

Which dialing method fits your use and your legal advice, and how many calls should each agent handle at once?

  3. 03

How will contact lists get in, how will they be segmented, and how are numbers you have already called suppressed?

  4. 04

How does the platform handle Do Not Call screening and permitted calling hours?

  5. 05

Which channels do you need beyond voice: text, picture messages, chat apps?

  6. 06

Should outreach start automatically from an event in another system, such as a booked appointment?

  7. 07

How much of a conversation should automation handle, and when does it hand off to a person?

  8. 08

Must it sit inside the contact center or phone platform you already run?

More on what it is

At the center is a dialer. It works through a contact list, places the calls, tells a live answer from voicemail or a busy signal, and hands answered calls to an available agent, so nobody dials one number at a time. Around it sit the tools for running campaigns: list management, call scripts that pop up with the contact's details, and a view for supervisors to listen in and coach during a live call. The reporting updates as calls happen. Scripts and campaigns can usually be changed without a developer.

Modern platforms reach past the phone to text, picture messages and chat apps such as WhatsApp, so a campaign can reach people where they actually answer. Outreach runs in two shapes. One is a broadcast to many people at once: an announcement, a reminder, a weather closure. The other is a two-way conversation, where the customer's reply is routed to an automated assistant or to a person.

The newest form uses conversational AI to run a separate outreach for each contact. It chooses how to reach the person, starts the contact, holds a natural conversation and completes the task, passing only a minority of conversations to a human. In healthcare that is used for confirming appointments, arranging transport and chasing paperwork before a visit.

The part that deserves the most care is compliance. Calling and texting people is regulated. A platform should screen your lists against Do Not Call registries as it dials and keep calls inside permitted hours. The dialing method you choose carries different legal exposure, so settle that with your counsel before you compare features.

Who needs it

  • You run structured outbound campaigns for sales, collections, retention or renewals.
  • You need to reach a large customer base fast with urgent news, such as a closure or a service disruption.
  • You are a healthcare provider handling a heavy volume of scheduling, confirmations and follow-up before visits.
  • Your staff spend hours on reminder calls, rescheduling and chasing forms.
  • Your marketing team wants to schedule promotions and event reminders across text and chat.

If you make a few dozen calls a week, your phone system and a list are enough. A dialer earns its place when volume is high enough that agents waiting on ringing phones is the real cost.

Signs you need it

  • No-shows and late cancellations happen often enough to hurt revenue or fill the schedule badly.
  • Paperwork that has to be done before a visit or a service is routinely late.
  • Agents spend more of the day dialing and listening to voicemail greetings than talking.
  • You cannot show, for a given call, that a Do Not Call request and the permitted calling hours were respected.
  • Urgent notices go out by hand, one at a time.

How IT Raven helps

Add Outbound Engagement to your quote list and tell us what you are reaching out about, how many contacts and through which channels. A person takes that to the outbound and contact center providers in our 500+ partner network and sorts them on fit: whether the platform is built for your volume and your industry, whether it works with what you already run, and how it handles the compliance duties above.

Outbound is often an add-on to a platform you may already own, so we check that first. If you are choosing the whole platform, start at Contact Center. If the goal is an assistant that holds the conversation, see CX and Conversational AI.

We stay on one thread through setup, list loading and the first campaign, and the same team is here when you add a channel.

How buying works

The store is the easy part. Staying on the account is the job.

Anyone can show you logos. The reason to buy here is what happens on install night, and on the ticket you open nine months later.

  1. 01

    Build your quote list

Add services and companies as you shop. No form stands between you and the shelf.

  2. 02

    We bring back real options

A person shops the bench against your addresses, then walks you through what fits and what does not.

  3. 03

We handle the order and install

Paperwork, site survey, install dates, cutover night. You get one thread, not five vendors.

  4. 04

    We stay on your account

Same team for moves, adds, tickets and the next renewal. That is the part everyone else drops.
